How much to charge per session
The price you need to charge per session comes from dividing what you want to earn plus your fixed costs by the sessions you bill each month, adjusted for what tax and payment fees take. With a target of 2,000 a month, 300 in fixed costs, 60 sessions and 25% in deductions, the price is 51 per session. Fewer sessions raise the price in the same proportion.
The formula
Price per session = (Target income + Fixed costs) ÷ (Sessions per month × (1 − Deductions))
What each variable means
- Target income
- What you want left in your pocket each month, after everything is paid.
- Fixed costs
- Gym floor fee or rent, software, insurance, travel and anything you pay whether or not the session happens.
- Sessions per month
- Sessions you actually bill, with the no-shows you do not charge for already removed.
- Deductions
- Tax, payment processing fees and any percentage taken off what you bill.

Read the other way, the table says how many sessions you need at the price you already charge. At 40 a session and a 3,000 target, that is more than 100 sessions a month.

How to read the result
Deductions divide, they do not get added at the end. Tacking 25% onto the price falls short, because the percentage applies to what you bill and not to what you keep. Dividing by 0.75 is what gives you the right number.
Assumptions and limits
- The formula works in any currency, as long as the target and the costs use the same one.
- It assumes every session is billed at the same price. If you sell discounted packs, run it on the real average price.
- It leaves out holidays and unbilled weeks. If you take a month off each year, divide the annual target by eleven.
